ABSTRACT

There were BFP personnel cautioned for failure to communicate requests and concerns through proper channeling because undeniably, some are not knowledgeable about correspondence. Sadly though, instead of writing communication/memorandum for any concern in the Bureau, BFP personnel resorted to calling immediately the higher office for an action to a particular concern. This problem is prevalent in almost all of the BFP officers in the whole archipelago of the Country.

The importance of office correspondence is to convey ideas, reports, information, rules and directions, policy and procedures, and guidelines in an impersonal way. It is not very expensive as compared to the other forms of communication. The written form of communication is the primary foundation of business. Other forms of communication like telephone, mobile phones may at best aid the communication process by adding a personal touch.

This study aims to conduct action research on improving office communication through training on correspondence. Specifically, it identifies the level of personnel’s knowledge on office communication through correspondence and improvement needed by BFP personnel through training.

The study also reveals that all BFP Personnel in Davao Region, especially the newly hired BFP personnel, should undergo training pertinent to letter correspondence, and be part of the Administrative Plan, focusing on the process of reports and documents. Lastly, additional budget can be requested to purchase materials and training cost that will support the Administrative Plan.

This action research study was able to identify the needed improvement for the BFP’s stepping stone towards processing of information, aside from identifying the level of knowledge among newly hired BFP personnel in Davao Region. Moreover, this study would like to suggest recommended guidelines in crafting policies that would benefit the BFP as an organization.

In remodeling training program, the BFP should institutionalize the conduct of training. Through this, the level of knowledge among the newly hired will increase in the aspect of office communication.

Office communication is very important, thus the BFP can actually device a system of communication process that shall be implemented in the region. These steps or process may include the evaluation of information obtained translating to validated or much clearer information.
All BFP personnel should be involved in the basic letter correspondence training as part of improving communication skills. It is highly recommended that personnel who will be trained with advance courses, shall have expert trainers outsourced from the academe. By doing so, BFP can actually realized that it can produce high level caliber of writers that can provide much better level of office communication.

Administrative Plan is an important thing in sustaining personnel competencies in terms of communication. The BFP Operational Manual does not provide specific mandates in terms of communication, correspondence nor related training of such. Thus, having a technical writing workshop will be essential for the organization to fully optimized their capabilities towards communication in letter correspondence.
